How INOVYN Uses EHS Software to Guarantee Safety and Stay on Top of Change

INOVYN is Europe's leading producer of vinyls and in the top three worldwide. They operate 24/7 and have more than 4,300 employees. They need reliable software and tools to report incidents, perform audits, and manage change, also on weekends or at night.

The company chose TenForce to implement a complete EHS software platform several years ago and digitize their Incident, Action and Change Management. Recently, the platform proved its worth in INOVYN’s reaction to the sudden challenges of the COVID-19 pandemic. Will it also assist in preparing for the future, keeping in mind the reality of climate change?

Going digital opens the door for safer production processes

Streamlined procedures and clarity on-site

A few years ago, several INOVYN sites started using TenForce to manage their incidents, audits, change and actions.

All incidents and near-misses are now registered and nothing is forgotten. It only takes around 10 seconds for an operator to enter the necessary details in the customized system. The forms are optimized and adapted to the company’s needs. This makes TenForce easy to use at all levels in the organization, after some training with the employees.

A system like TenForce gives clarity to everybody on the site. When something happens on Sunday night, an operator must be able to enter an incident into the system. That’s possible with TenForce. It’s all very clear and transparent for everybody.

Jan Lemmens
Safety and Security Manager, INOVYN

Over the course of the years, from the group level, they supported individual sites and businesses all across Europe to digitize their EHS processes. Sites are free to choose their own systems. As TenForce proved its use and flexibility these past few years, it is the preferred solution in multiple sites.

Transparent reporting and efficient auditing

With INOVYN becoming bigger and bigger across Europe, the company is often in the spotlight. The image they present and how they position themselves in the community is important. With their digital EHS solution, all the data is collected in a central platform. This allows the sites to generate comprehensive reports.

Through the EHS software, a site can collect data and shows it to the outside world in a structured way.

We use the different modules for two things. Firstly, to streamline the EHS processes within the company. And secondly as a reporting tool. We use it to report both on corporate group level and on individual site level.

Dirk Gyzels
HSEQ and Facility Manager, INOVYN

Not only their data collection efforts benefit from this central system. Auditing processes are transparent and easily accessible. Both internal and external auditing is made easier and more efficient for all parties involved.

COVID-19: a sudden confrontation with change

INOVYN felt the impact of the COVID-19 pandemic on their regular way of working. As a production company, most staff members were still present on-site to do their jobs. Immediately, the pandemic made clear that the presence in the field by management is indispensable.

With the social distancing rules in place, it was difficult to have direct contact between front-line workers and management. Tracking incidents reported in TenForce, they saw that there was a need to re-emphasize the need for management to be present in the field in order to increase supervision, auditing and overall safety.

Document flow was also affected by the pandemic. Well-defined workflows in TenForce made efficient management and approval of Management of Change documents possible even when people are working from home assuring digital traceability. The need for everyone to be physically present was eliminated.

Facing the EHS challenge of tomorrow: climate change

INOVYN is continuously looking to innovate and anticipate upcoming changes. One of the elements that they see as most defining for the coming years in EHS is climate change.

Like every business, we are confronted with climate change. The biggest challenge in EHS is keeping up with upcoming regulations in this field . Being at a high level of safety already it's fundamental to keep up with changes. We need to keep people motivated to further improve our SHE performance , also with an eye on environmental topics.

Jan Lemmens
Safety and Security Manager, INOVYN

Nowadays, instead of EHS, people talk about EEHS, the first E standing for Energy and the second for Environment. INOVYN is part of INEOS, which already has a few large projects to tackle the changes and regulations connected to this. One example is Hydrogen, a newly created business to accelerate the drive to net zero carbon emissions. Their efforts to produce less carbon emissions than they take from the atmosphere are also linked to national and international environmental rules and legislation.

All the rules and legislations are changing so quickly: we need to be ready so that our installation is built accordingly. We need to change, we need to be on top of it, we need to change our way of working to have better results.

Bert Schietekat
Process Safety Advisor, INOVYN-ANTWERP

The challenge is to keep improving the SHE performance and to keep the workforce motivated to do the same. And that’s where digital tools and software come in: these allow to rethink the workflow of a business and the way a company operates. Rethinking the way a facility works is crucial to stay relevant in today’s world. With digital tools to assist them, INOVYN is ready to take on the challenge.

All in all, INOVYN found a solution to facilitate their response to the ever-growing need of transparency, increased safety and for addressing environmental topics. Both in the face of sudden changes and in light of the future, being prepared is key.

Their aim for the future is twofold. First, to stay on top of all the EHS challenges that will come their way by continuous innovation. Equally important is motivating their employees and different sites all over Europe to embrace digitization as part of the solution for increased SHE performance and more efficient production processes.
